Job Title:  Mental Health Clinic Operations Manager, Grade 8

FLSA Status: Exempt

Reports to:  Clinical Director, Mental Health Services

Job Summary:  The MH Clinic Operations Manager is responsible for day-to-day administrative functions of the clinic including satellite locations as well as the supervision of the administrative staff. In addition, the MH Clinic Operations Manager will work closely with the Finance Department to ensure accuracy of the Clinic financial data.


  • Bachelor’s degree in Business Management, Human Service Field or a related field, or equivalent combination of education and experience
  • Minimum three years’ experience working with electronic health record systems
  • Working knowledge of current physician, behavioral health and/or managed care operations and insurance industry structure
  • Able to read and interpret written information; write clearly and informatively; edit work for spelling and grammar
  • Able to read and understand basic financial data
  • Able to communicate clearly and effectively in business situations; listen and obtain clarification; respond well to questions; group presentation skills; and facilitate meetings
  • Proficient in Microsoft Word and Excel

Essential Functions:

  • Develop and maintain clear system for tracking and carrying out physicians’ and/or nurse practitioners’ orders including medications, medication refills and external referrals
  • Manage urgent appointment requests, maximizing the revenue cycle
  • Responsible to ensure clinic compliance, reporting and staffing
  • Oversight of medical records, subpoenas, and HIPAA compliance
  • Work closely with the Finance department to ensure accuracy of financial data and completion of any necessary budget and forecasting activities
  • Support ARISE’s various Mental Health Clinic locations
  • Demonstrate proficiency in use of electronic health record systems
  • Responsible for monitoring, analyzing, assessing and communicating clinical progress to senior management
  • Oversee relevant training to clinic providers and office staff to meet key performance indicators such as provider productivity, accurate charting, revenue cycle measures and other operational efficiencies
  • Maintain records of provider credentialing, CEUs, and compliance training
  • Oversee the preparation of management reports as requested by senior management
  • Oversee the recruiting, hiring, interviewing and management of clinic administrative staff and recommend staff promotions
  • Responsible for supporting and carrying out all established policies and procedures
  • Further the ARISE mission including adherence to the code of ethics
  • Maintain a professional working relationship with both internal and external contacts
  • Participate in leadership meetings
  • Manage departmental expenses and monitor volume/revenue generation to assure that clinic financial goals and objectives are met
  • Demonstrate service excellence, and convey professionalism at all times
  • Generate team enthusiasm to achieve optimum results
  • Exercise sound judgment as a matter of course, and hold protected health information and other sensitive information in the strictest of confidence in accordance with ARISE and HIPAA policies
