Facilities & Maintenance Manager – Grade 7

Reports to:   Director of Finance

Status:  Exempt

Job Summary:

The Manager of Facilities and Maintenance provides supervision of developing, planning, organizing and directing the maintenance, repair and alteration of all agency buildings and grounds including the ARISE at the Farm; oversee the planning and developing of facilities and new construction, serves as an agency representative in planning and developing facilities and new construction; preparing and managing the annual budgets for the maintenance, grounds and custodial departments; and ensuring the optimal utilization of personnel and other resources and third party vendors.

Qualifications:

  • Bachelor’s degree in engineering, facilities management, business management or related field preferred. Certification in facilities management a plus
  • Previous experience in maintenance supervision or related field
  • At least one year of supervisory experience
  • Working knowledge of local, state and federal laws related to the operations and maintenance of facilities
  • Valid Driver License and Evidence of Insurability
  • Experience working effectively with architects, construction managers, engineers and contractors in all phases of construction or remodeling projects
  • Experience with cost estimation of remodeling and facilities improvement projects
  • Experience designing and implementing preventative maintenance programs
  • Knowledge of building management systems including HVAC and fire alarm controls

 

Essential Functions:

  • Collaborate with personnel and third party vendors for the purpose of coordinating activities and programs, resolving issues, and exchanging information concerning assigned functions and related matters
  • Develop and monitor budget and expenditure allocations for the purpose of ensuring that allocations are accurate, expenses are within budget limits and expenditures are authorized in accordance with established limitations
  • Coordinate site safety programs to ensure a safe environment for all employees
  • Inspect new construction, repair work, grounds, special projects, equipment, work orders, daily maintenance and supplies for the purpose of ensuring that projects are completed efficiently; specifications for major capital improvements are within local/state/federal regulations; and approving inspection reports and payment requests
  • Manage construction contracts for new facilities and major alterations and/or modernizing of existing facilities for the purpose of ensuring that the work is performed in accordance with specifications, timelines, and budget
  • Manage lease agreements entered into by the agency and ensure the agency is in compliance with all terms set out in the agreement
  • Manage assigned program and/or department responsibilities (e.g. site improvement, grounds, ADA access, fire inspections, safety, etc.) for the purpose of achieving outcomes in relation to organization objectives and ensuring conformance with legal, financial, and district requirements
  • Supervise all maintenance staff and external contractors
  • Perform personnel administrative functions (e.g. interviewing, selecting, evaluation, supervising, training, etc.) for the purpose of maintaining adequate staffing, enhancing productivity of personnel and achieving objectives within budget
  • Present information at various meetings for the purpose of communicating information, gaining feedback and ensuring adherence to established internal controls
  • Support the ARISE mission and uphold all NYS Justice Center, OPWDD, ACCES VR and related agency regulations
  • Participate in agency, team and other required meetings
  • Uphold ethical standards required as a member of the leadership team
  • Maintain professional conduct/detachment from personal involvement with individual(s) and/or their family members
  • Hold sensitive information and PHI with professional discretion, adhere to HIPAA compliance
  • Actively take steps to implement the Codes of Compliance and Conduct
  • Report any unsafe situations, accidents, or incidents to QI Director and Director immediately
  • Follow the ARISE Injury Management Reporting process
  • Other duties as assigned
