EHR/Accounts Receivable Administrator

Job Title: EHR/Accounts Receivable Administrator, Grade 5
Reports to: Billing Manager
FLSA Status: Non-exempt
Job Summary: Responsible for Mental Health Billing and System Maintenance of Evolv


Essential Job Functions:

  • Process billing through Evolv
  • Electronically transmit Medicaid, Medicare, Total Care, and Fidelis insurance billing
  • Prepare and review CMS1500 and UB04 Insurance billing forms and forward to A/R administrator to mail out
  • Enter EAP quarterly charges manually, mail out the statements and research EAP quarterly and monthly non-payments
  • Upload 835’s into the system (Medicare/Medicaid/Beacon Total Care/Fidelis)
  • Enter manual Cash receipts
  • Work the denials for Medicaid, Medicare and other various insurances – rebill and/or make calls
  • Rebill Insurances example Medicaid, Medicare and other various insurances
  • Research and audit of Accounts Receivable (insurance/self-pay)
  • Analyze Finance system configuration trouble shooting
  • Analyze system problems; work with Early Recognition Specialist and IT Core Manager and/or with Netsmart
  • Enter all rate increases into system
  • Run and work Held Claims report monthly (prior to closing month)
  • Work unbilled Claims report (weekly)
  • Close each month and run required reports for Accountants
  • Yearly produce Uncompensated Care Pool reports for the CFR
  • Update billing information to clients files when necessary
  • Enter new Clinic Therapist/Doctors/Nurse Practitioners/Interns into Evolv system and enter updated information for current Clinic Therapist/Doctors/Nurse Practitioners/Interns
  • Establish Clinicians as Provider on Medicare Panel, OPRA and Medicaid
  • Continue to add new insurance plans in the system to keep up to date, example HARP changes; changes to clients insurance status, etc.
  • Review all payments entered by A/R administrator each week
  • Continue training A/R administrator on various tasks in the remit portion of the system, example: how to apply zero payment
  • Uphold the codes of conduct and ethics as well as all ARISE policies and procedures
  • Exercise sound judgment as a matter of course and hold protected health information and other sensitive information in the strictest of confidence in accordance with ARISE and HIPAA policies



  • Associates degree with a minimum of two years office experience preferred – or – equivalent combination of education and experience
  • Working knowledge of basic accounting principles
  • Familiarity with commercial insurance and Medicaid and Medicare billing
  • Excellent Data Entry Skills
  • Demonstrated proficiency with MS Word, EXCEL, Practice Manager, Evolv (EHR)
  • Good record keeping skills, time management, organizational and math skills
  • Strong verbal and written communication skills
