Development Administrative Assistant

Job Title:           Development Administrative Assistant, Grade 3

Reports To:      Chief Development Officer

FLSA Status:     Non-Exempt

Job Summary: Provides support for Development Department activities including special events, public relations/marketing, as well as donor database maintenance and reporting to help ensure the success of development efforts to support ARISE and its programs.

Essential Functions:

  • Donor Database
    • Accurately enter information
    • Assist with preparation, mailing and filing of acknowledgement letters
    • Generate reports on donor profiles and gifts, as needed
    • Assist with setting up events and emails using donor database features
  • Special Events
    • Assist with planning, coordination and implementation of ARISE special events such as the annual dinner, UNIQUE magazine and exhibit, and others
    • Maintain accurate event details
    • Assist with setting up display tables, moving art pieces, cartons, etc.
    • Run errands in the community, as needed
  • Public Relations/Marketing
    • Write and distribute press releases following ARISE procedures
    • Take photographs at ARISE program activities
    • Assist with postings on social media, as needed
    • Track media hits
    • Generate social media activity reports
    • Assist with newsletters
  • Administrative Tasks
    • Assist with mailings and bulk mailings
    • Print brochures and flyers; gather materials for program staff
    • Assist with getting quotes from vendors
    • Create P.O.s and web invoices for purchases
  • Uphold the Codes of Conduct and Ethics as well as all ARISE policies and procedures
  • Exercise sound judgment as a matter of course and hold protected health information and other sensitive information in the strictest confidence in accordance with ARISE and HIPAA policies

 

 

Qualifications:

  • Enthusiasm for the ARISE mission
  • 1-2 years of administrative experience required
  • Excellent verbal and written communication skills
  • Excellent organizational skills and ability to maintain accurate records
  • Able to work as part of a team
  • Cultural awareness and ability to interact with people from various backgrounds
  • Be available for occasional evening and weekend activities/events
  • Must be proficient in Microsoft Office programs
  • Helpful to have experience with donor databases, ADOBE software, social media platforms
  • Ability to lift 25 pounds
  • Have a valid driver’s license and transportation
  • High school education required; Associates Degree preferred
